Overview
Intelligent PO Import, also called AI Import, turns a builder's purchase order into quote line items. It's built and tuned for PDF POs, the format that gives the most accurate results. XLSX, CSV, TXT, JPG, PNG, and HEIC files are also accepted, but results are less reliable.
Intelligent PO Import matches each line first against the customer's previous myBLDR orders. When the customer has no myBLDR order history, it matches against previous myBLDR orders for the selected location.
Note: AI Import doesn't replace Import Material List, which is still the right tool for a clean, structured list.
Import a Document into a Quote
To import a document into a quote:
Open the project, then go to Materials > Quote Manager, and open or create the quote.
On an empty quote, select Import With AI. On a quote that already has line items, select Import, then select Upload with AI.
Drag a file into the upload window, or select Browse to choose one. Files up to 50 MB are supported.
Wait while AI reads the file and matches each line to the builder's order history. Select Cancel at any point to stop the import.
On the Review and Confirm screen, review each line. Each line lists the document's SKU, description, and quantity, and the matched BFS SKU, description, and price, with totals for both in the column headers.
Read the match note on each line. Select View Alternatives on a line that looks wrong to swap the match without leaving the screen. A line can still appear on the review screen when the correct SKU isn't found.
Check quantity on hand against the PO quantity. A warning icon appears when the PO asks for more than what's on hand.
Compare the document price to the BFS price to identify possible SKU, quantity, or unit-of-measure issues.
Clear the checkbox on any line that shouldn't be added to the quote.
Select Add Items.
In the Select a Pack window, enter a pack name for the PO, such as Frame 1, then select Add Items again to confirm. The items are added to the quote, grouped under the pack.
Finish the quote: fix quantities and units, enter tallies for random-length or tally lines, review Special Order items, resolve exceptions, and check the Internal Notes column.
Notes:
SKU Matching. AI Import reads the description, dimensions, species, length, and product type on each line, then cross-references the builder's BFS order history, favoring the SKUs, species, and lengths the builder has already ordered. When the builder has no order history, AI Import uses previous orders for the selected location.
Low-Confidence Matches. Lines that AI Import isn't confident about carry a note explaining its reasoning. Where more than one match is reasonable, alternative SKUs from the builder's history are available on the line. Alternatives help most with foam board and LVL, where many similar SKUs exist.
Unmatched Lines. Lines AI Import can't match still come through, carrying the builder's description, quantity, and price, with the BFS SKU left blank and marked non-stock (N). A SKU must be selected, or the line must be handled as a special order, and a category must be set before the quote publishes cleanly.
Pricing. Line pricing listed as BFS Price comes from the ERP, just like any other quote line. The document's prices are shown alongside for comparison, with a total for each in the column headers. Document pricing is for reference only.
Random-Length Lumber and Tally Items. Random-length lines (R/L, LF, board feet) are never matched to a specified-length SKU. These lines are matched to a random-length SKU from the builder's history or flagged for manual tally handling.
Review Import Results. Every line lands on the Review and Confirm screen before anything reaches the quote. The screen carries the reminder "List contains AI results. Please review for accuracy." AI Import is a well-informed first pass, not a final answer. Review should focus on the flagged lines, the quantities, and the price comparison.
Pasting Line Items with AI
Paste with AI converts PO line items shown in an email, website, or other source into quote lines from a screenshot, when the source can't be uploaded as a file.
To paste line items into a quote:
Select Paste with AI. Copy and paste a screenshot of the PO line items into the text box.
Review the pasted information, then select Convert To Line Items. Wait while myBLDR creates the review list.
Note: A simple, clearly organized screenshot with a description and quantity for each item works best.
Note: Upload the original PO file instead when a pasted table loses its formatting.
Warning: Check every quantity on the Review screen. When myBLDR can't identify a quantity, the item may appear with a quantity of 1.
Supported File Types and Size Limits
AI Import is built and tuned for PDF POs, the format that gives the most accurate results. The following file types are also accepted, up to 50 MB, one document at a time, though results are less reliable the further the document is from a clean PDF:
PDF. Gives the most accurate results. Use this format when possible.
XLSX. Accepted.
CSV. Accepted.
TXT. Accepted.
JPG. Accepted, but produces more lines flagged for review.
PNG. Accepted, but produces more lines flagged for review.
HEIC. Accepted, but produces more lines flagged for review.
Note: JPG, PNG, and HEIC files are accepted, but results are less reliable. Email documents aren't supported, including PO content saved or exported as a PDF from an email. AI Import isn't built to parse email formatting and won't process these reliably.
Troubleshooting
Low-Confidence Match
When AI Import isn't confident about a line, a note appears explaining the reason. Not every note offers alternatives. When one is available, select View Alternatives to see other SKUs from the builder's history and swap the match without leaving the screen.
Unmatched Line
To handle a line AI Import couldn't match:
Select a SKU for the line, or mark it as a special order.
Set a Category for the line before publishing the quote.
Poor-Quality Source Document
Use a clear, well-organized customer PO for the best results. A native PDF works best. When only a photo is available, use a clearer original document instead when possible; photos produce more lines flagged for review.
Handling a Document AI Import Isn't Built For
Handwritten lists, estimator takeoffs, and poorly organized documents may need manual quote entry. AI Import isn't recommended for handwritten POs or material lists today.
Troubleshooting a Failed Import
To troubleshoot an import that fails or returns unusable results:
Try the import once more.
If it happens again, fix the quote by hand, then submit a help desk ticket with the quote link, a copy of the document being imported, and the time it failed.
